Position Summary
The University of New Mexico's Project ECHO has an exciting opportunity for an Operations Event Planner to join our Communications and Marketing Team!
The Operations Event Planner will plan and support national and global events that are both virtual and in-person. A primary responsibility will be assisting with the bi-annual MetaECHO Global Conference.
As an Operations Event Planner, you will work closely with the Communications and Marketing Program Planning Manager to provide logistical and administrative event support to ECHO leadership, staff, and stakeholders. Your role will involve the coordination and execution of in-person Partner Launch Training, grant-deliverable events, the bi-annual MetaECHO Global Conference, webinars, and fundraising events. This role includes:
- Serving as liaison between contractors, organizers, and administrators with regards to all facets of the logistical operations support of specific events.
- Supporting event administrative tasks including special exception requests, expense reporting, and P-Card reconciliation in ChromeRiver.
- Creating and maintaining the Global Events Calendar-a listing of all the events ECHO leadership and staff currently present at or could have the opportunity to present at in the future.
- Creating and managing registration sites, award nomination forms, and volunteer sign-ups in Cvent or Smartsheets as needed.
- Management of bi-annual MetaECHO conferences' event registration in CVent, setting up and executing attendee payment & refund processes with UNM Bursar's Office TouchNet Marketplace,), catering selections and execution, lodging management, Visa letter management, oversee Staff volunteer process and execution, onsite check-in (including per day attendance-both in person and virtual), overall event assistance and final reporting. Builds and manages the Cvent Access Portal. May create reports, as requested.
- Researching new opportunities for fundraising presence at key events.
- Participate in NM Meeting Professionals International.
- Obtain Cvent certification in the first few months.

We work with partners all over the world and work hours outside of normal business hours may be required. We are fortunate to have access to advanced technology, which will require some teleworking.

Conditions of Employment

Minimum Qualifications
High school diploma or GED;at least 5 years ofexperience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
-Bachelors degree
-Three years proven success in event management, hotel group sales, or conference services.
-Experience with registration and event management systems (Cvent, Webex Events, EMS.)
-Excellent organizational skills, including record keeping, time management, and attention to detail.
-Strong interpersonal and communication skills.
-Ability to handle pressure and make good decisions quickly.
